Wedding venue pipeline: 5 stages from inquiry to signed contract

View your wedding venue as a sales machine. Couples enter from one side (inquiries), undergo a transformation inside (visits, negotiations, decision-making) and emerge from the other side as bookings.

What happens in the middle is called the pipeline: the journey couples take.

Without a pipeline map you are working in the dark. You will not know how many couples are at each stage, which venues depend on your decision or whether anyone is drifting towards competitors.

Why a pipeline?

When you have 5-10 couples at different stages, you will need an overview. Without it, this happens:

With a pipeline, you will clearly know: I have one couple for a viewing tomorrow, I am waiting on another after two weeks, and the third is negotiating price.

5 stages (and what happens in each)

1. Inquiry (Day 0)

A couple has just contacted you. Nothing more. You do not know them, you do not know their needs, and you do not know if they are serious.

Your actions:

Duration: A few minutes, maximum up to 24 hours (do not let it hang)

Red flag: If couples do not respond within a week, they are likely not serious.

2. Qualification (Day 1-3)

The couple has answered your question or called you. Now you know:

Duration: 3-7 days

Progress indicator: You have scheduled a specific time for the viewing.

Red flag: Couples do not set a viewing date and only ask about “availability” - they are probably comparing all venues without serious intent.

3. Viewing (Day 4-14)

Couples see the venue in person (or online). This is a critical moment - either they like it or they do not.

Your actions:

After the viewing:

Duration: 7-21 days (couples sometimes need more time to decide)

Progress indicator: Couples ask specific questions (electricity for the DJ, placement of the party tent, where the family can park).

Red flag: Couples only ask about the price and compare with competitors - they are not sure about you.

The viewing is not part of the sale - it is a product tasting. If couples return on their own (without upselling), you have won their hearts.

4. Negotiation (Day 14-35)

Couples are interested. They know what they want and ask about details:

Duration: 1-4 weeks (depends on how long couples take to decide)

Progress indicator: Couples ask about things they would only ask when ready to buy (insurance, naming of spaces, changes in budget).

Red flag: Couples gradually stop writing and do not answer emails - they are preparing a “no” or have gone elsewhere.

5. Contract (Day 35+)

Couples have decided. You sign the contract, receive a deposit (usually 20-50% of the price), and you have them. They are no longer in the pipeline - they are on the Reserved list.

Your actions:

Duration: 1-2 days (signing and payment)

Red flag: Couples signed the contract but have not paid the deposit for 2 weeks - contact them to verify that everything is in order.

How to do this in practice

Record the status of each couple in:

The table shows: How many couples are in each stage? How long have they been there? Which ones have not progressed further?

Example:

Couple Novákovi - 15 May 2026, 100 guests - Status: Viewing (already 5 days)
Couple Svobodovi - 3 March 2027, 60 guests - Status: Negotiation (2 days, waiting for a reply)
Couple Kučerovi - 22 September 2026, 150 guests - Status: Contract (signed, deposit paid)

## Average Timelines

There is no "correct" timeline, but these durations are standard:
- Inquiry to Qualification: 1-3 days
- Qualification to Viewing: 3-14 days
- Viewing to Negotiation: 3-14 days
- Negotiation to Contract: 7-21 days

**Total time from inquiry to signed contract:** 3-12 weeks (depending on the season and whether couples are in a rush).

If your timeline is six months, something is wrong. Either you are selling too little or your assistant is not performing effectively.

## Why all this?

The pipeline gives you an overview. Not so you can be more paranoid, but so you can see:
- What your conversion rate is (50 enquiries → how many contracts?)
- Where couples are dropping out (e.g. 80 % fall away during negotiations → do you have a pricing problem?)
- Where to focus your energy (e.g. you have 3 couples waiting for finalisation → now you are the salesperson, now you must close)

With a pipeline, you will not say: "We have a few interested parties." You will know: "We have 2 couples in negotiations and 1 waiting for a contract - we will contact them tomorrow."

This is not obsession - it is craftsmanship.
