CRM integration with web forms: stop transcribing enquiries from email
A prospect fills in the form on your website and submits it, and you receive an email: “Name: Jana, Phone: 728123456, Wedding: March 2027, Number of guests: 90.”
You then open a spreadsheet in Excel (or Sheets) and enter the details manually. Today you receive four enquiries. Tomorrow three. In a month you will think: “We have 70 enquiries, but only 42 are in the spreadsheet. What happened?”
What happened is that someone forgot to enter the data manually. Or they entered it with an error (you might miswrite a phone number and then be unable to call).
This is the problem solved by connecting the form directly to a CRM. Either Svatbio or any other system.
How the integration works
You have a website with a form. When the form is submitted, the data goes directly into the CRM table instead of an email.
- The interested party fills in: Name, Phone, Email, Wedding Date, Number of Guests.
- They click “Send”.
- The data appears in Svatbio immediately - no email, no manual entry.
- You see a notification: “New lead: Jana, March 2027, 90 guests” and you call her right away.
What this saves you
Time:
- Without integration: 4 enquiries × 3 minutes = 12 minutes per day = 60 hours per year.
- With integration: 0 minutes of data entry = 0 hours.
That is approximately one month of work that disappears.
Accuracy:
- Without integration: Errors in phone numbers (728123456 vs 728-123-456), missing information (you forgot to note they want an outdoor space).
- With integration: Data is accurate, exactly as the enquirer entered it.
Response time:
- Without integration: An enquirer fills in the form on Monday at 18:00. You read the email on Tuesday morning and call at 10:00. The enquirer has already called your competitors in the meantime.
- With integration: A notification arrives in Slack or via SMS at 18:01. You call at 18:30 or the next day at 8:00. You are 24 hours ahead.
The first enquirer you call versus one who waits until the next day equals approximately a 10-20% higher conversion rate.
How to set it up technically
Do you have a website? Then you likely have some form. Here are the most common scenarios:
Scenario 1: WordPress website
There are plugins like WPForms or Gravity Forms that connect directly to your CRM or Google Sheets.
- Install the plugin.
- Create a form (Name, Phone, Email, Date, Number of guests).
- In the plugin settings, select: “Where should the data be sent?”
- Choose Google Sheets, Svatbio API or Zapier (middleware).
Setup time: 30 minutes (if you know what you are doing).
Scenario 2: Website on modern technology (Astro, React, Vue)
Do you have developers? Then simply ask them to “send the form data to https://api.svatbio.cz/leads”. The developer will connect it (approx. 1 hour).
Then: Form → API → Svatbio.
Scenario 3: Using Google Forms
We will be direct: Google Forms is not suitable. However, there is a workaround: Zapier or Make.com.
Zapier acts as a “robot” that waits for the form to be filled and then sends the data to your CRM. Cost: approx. 200-300 Kč/month.
- Create a Google Form.
- Connect it to Zapier (“when the form is submitted, send to CRM”).
- The CRM receives the data.
Bonus: Automatic notifications
Once the form is connected, you can set up:
- SMS to your mobile: “New lead Jana, March 2027.” (you know immediately and call at 18:30)
- Slack message: The whole team sees that an enquiry has arrived.
- Email with a tag: The lead is automatically tagged “No response” → later you can see which enquiries have not replied.
Where things go wrong
I see it all the time: a website owner thinks that “the form sends an email and I will enter it manually” is enough.
With 10 leads, everything is fine. With 50 leads, chaos ensues. With 200 leads, you do not even know how many you have.
Svatbio solves this by connecting the form at the platform level. You only need a link with ?source=web-formular and everything returns with precise source tagging.
If you are on your own website without a CRM, you must set this up yourself (or get help from a developer).
Check: Is it set up correctly?
- The form exists on your website.
- The form does not arrive in your email inbox.
- Data appears in a table (CRM) or via a notification (SMS/Slack).
- Within 1 hour, you know a new lead has arrived.
- Phone numbers are transcribed correctly (without errors).
If this is not the case, your sales process is unoptimised. This costs you hundreds of hours and tens of percentage points in conversion rates.
One email per year where a lead waited 24 hours to call you equals one lead who got married at a competitor’s venue.
Automate it. It is not a luxury; it is the standard.
