How to set your wedding venue price list to filter for serious enquirers only

Send the price list to everyone who asks. You will receive 40 enquiries, three people will return saying “it is too expensive” and one will book.

Hide the price list. You will have ten enquiries, but everyone will be serious. Seven will return asking “when are you free” and four will book.

The difference? The price list filters. The right filter saves you hundreds of hours on less capable sales efforts and brings you more money.

The problem with a low price filter

Let me tell you a specific story. A hall in Kutná Hora (160 seats) was rented for 35,000 Kč. The owner published the price list on her website. She received 30 enquiries per month. Conversion rate: 8 %.

The problem: every enquiry included “Can we reduce the price to 25,000?” Or: “We are students, do you offer a discount?” Or: “The wedding will be in a provincial town and you want 35,000?”

It took her about 4 hours of emails to find out that only 3 or 4 out of the 30 people could afford that price. The rest was wasted time.

Then she hid the price list. She sent this reply: “I will send you the price list once we know more about your wedding.”

She received 12 enquiries per month. Conversion rate: 28 %.

How did this happen? People who would negotiate the price simply do not get in touch. Those who do contact you already know that the hall is not within a 20,000 Kč budget; they know it will be around 35,000 to 45,000 Kč.

Tip: The price list is hidden, but not entirely

You do not have a price list on your website. But you do have it on the booking form:

What is your budget for hall rental?
- Up to 20 thousand
- 20-30 thousand
- 30-40 thousand
- 40-50 thousand
- 50+ thousand

If someone selects “up to 20 thousand”, send a rejection form:

Thank you for your interest. Our hall starts at 35 thousand. If your budget changes, please do get in touch.

You have now filtered out 10 non-committal enquiries (unnecessary time) and are left with 2 serious ones.

How much should your price list be

Here is the maths based on real data (Prague, 150-200 guests, mid-range category):

Hall priceMonthly enquiriesConversion rateBookings/month
25k405 %2
35k1815 %2.7
45k1222 %2.6
55k830 %2.4
70k535 %1.75

Do you see it? At a price of 35k, you get at least as many bookings (2.7 vs 2) with a 45 % reduction in emails.

If you have one person handling sales and they spend 30 minutes on each enquiry, you save 11.5 hours per month. That is roughly 3 full working days.

The formula: The right price list turns 40 hours of admin work into 5 hours of actual selling.

Dynamic pricing: Season + day

If you have the data (and Svatbio provides it), you can see which dates sell first:

Example:

Couples see this as natural (all venues do it). And you avoid enquiries for cheap Fridays and mid-week dates that would wear you down with negotiations.

Discounts are a trap

Notice that I don’t have “−20 % discount for groups of 50+ people” or “−10 % discount for early bookings”.

Why? Because when couples think there is a discount, everyone thinks they deserve it. Then you get an email: “We are a young couple with little money, do you have any discount for us?” And you face a contradiction - you cannot give a discount to those without money if you do not want to give it to everyone.

Instead: The price is the price. If you need flexibility, handle it via the MENU. For example: “Hall for 80 people is 45k, hall for 120 is 55k. Choose how many guests you want.” This is no longer a discount - it is a calculation.

Final check: Is your price list too high?

If you have fewer than 5 enquiries per month = your price list is too high (or your SEO/social media are poor).

If you have 30+ enquiries per month and your conversion rate is below 10% = your price list is too low (couples think it is cheap but still do not decide to book).

The ideal scenario is 8-15 enquiries per month with a conversion rate of 20% or more (i.e. 1.6-3 bookings per month).

Svatbio monitors this for you. You see the “Enquiries vs. Price” graph and immediately know where the gap lies.

Your price list is the simplest and most effective sales tool you have. When set correctly, it turns chaos into a system.
